This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit platoonwave.org, make a donation, submit a contact request, register for an event, or otherwise interact with us.

The information we collect depends on how you interact with Platoon Wave.

Information you provide

When you make a donation, contact us, register for an event, request information, or participate in another Platoon Wave activity, you may provide:

  • Company or organization name;

  • Telephone number;
  • Billing contact name;
  • Billing address;
  • Donation amount;
  • Event-registration or sponsorship information;
  • Communication preferences;
  • Donor-recognition or anonymity preferences; and
  • Information included in messages you send to us.

Please do not submit Social Security numbers, medical records, full payment-card numbers, card security codes, bank credentials, or other unnecessary sensitive information through email or general contact forms.

Payment information

When you make a card payment, you provide information such as:

  • Name on the card;
  • Payment-card number;
  • Expiration date;
  • Card security code; and
  • Billing information.

This information is transmitted through our payment infrastructure for authorization and processing. Platoon Wave does not retain full payment-card numbers or card security codes in its ordinary records after authorization.

We may retain limited transaction information, including:

  • Donor name;
  • Donation amount;
  • Transaction date and time;
  • Transaction status;
  • Transaction reference number;
  • Payment-card brand;
  • Masked payment-card information;
  • Billing contact information; and
  • Information needed to issue a receipt or address a payment dispute.

Information collected automatically

When you visit our website, Cloudflare and related website infrastructure may automatically process technical information such as:

  • Internet Protocol address;
  • Browser and device type;
  • Operating system;
  • Date and time of a request;
  • Pages requested;
  • Referring page;
  • General geographic region derived from an Internet Protocol address;
  • Security and fraud-prevention signals; and
  • Information about website errors or performance.

This information is used to deliver the website, prevent abuse, verify legitimate users, maintain security, diagnose technical problems, and understand general website performance.

3. How We Use Information

  • Authorize and reconcile payment transactions;

We may use an email address provided during a donation or contact request to:

  • Share occasional information about Platoon Wave’s mission, programs, or events.

Non-transactional emails will include an unsubscribe method when appropriate. Unsubscribing from promotional communications will not prevent necessary transaction, receipt, security, or administrative communications.

A telephone number submitted during checkout may be used for transaction support, fraud prevention, donation administration, or responding to a request.

Platoon Wave will not use a telephone number for automated promotional text messages without any consent required by applicable law.

5. How We Disclose Information

Platoon Wave does not sell, rent, or trade donor personal information. We do not disclose personal information for third-party targeted advertising.

We may disclose information in the following circumstances.

Cloud and website services

Our website uses Cloudflare for services that may include hosting, content delivery, network security, traffic management, performance measurement, and verification that a visitor is a legitimate user.

Cloudflare may process technical and security information as necessary to provide those services.

Payment processing

Donation and payment information may be disclosed to companies involved in processing, authorizing, securing, reconciling, and settling transactions.

Our current payment infrastructure includes services provided by:

  • Fusion Payments;
  • Priority;
  • Fiserv; and
  • Financial institutions and card networks involved in the transaction.

These organizations receive information necessary to perform their respective roles in the payment process. Their processing may also be governed by their own legal, regulatory, security, and privacy obligations.

Operational service providers

We may disclose information to service providers that assist with:

  • Website operation;
  • Email delivery;
  • Transaction receipts;
  • Donation administration;
  • Accounting and recordkeeping;
  • Fraud prevention;
  • Cybersecurity;
  • Legal compliance; and
  • Professional services.

Service providers are permitted to use information only as necessary to provide services to Platoon Wave or satisfy applicable legal obligations.

Legal and safety disclosures

We may disclose information when we reasonably believe disclosure is necessary to:

  • Comply with a law, regulation, subpoena, court order, or lawful government request;
  • Investigate fraud, unauthorized transactions, or security incidents;

Organizational changes

If Platoon Wave participates in a merger, restructuring, transfer of programs, dissolution, or similar organizational event, relevant records may be transferred subject to applicable nonprofit, tax, privacy, and charitable-asset restrictions.

6. Donor Recognition and Anonymity

Donors may ask Platoon Wave not to publicly display or publish their name in donor-recognition materials.

An anonymity request applies to public recognition. It does not prevent Platoon Wave from maintaining information needed to:

  • Process the donation;
  • Issue a receipt;
  • Maintain accounting and tax records;
  • Prevent fraud;
  • Resolve disputes; or
  • Comply with legal and regulatory requirements.

7. Cookies and Similar Technologies

Platoon Wave does not use third-party advertising plugins or advertising cookies on its website.

Cloudflare may use cookies, security tokens, or similar technologies when necessary to:

  • Deliver the website;
  • Protect against malicious traffic;
  • prevent fraud or abuse;
  • Verify that a visitor is a legitimate user; and
  • Measure basic website performance.

Blocking essential security technologies may prevent certain website features, including the donation form, from operating correctly.

8. Data Retention

Platoon Wave retains personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy.

Retention periods may depend on:

  • Tax and accounting requirements;
  • Charitable contribution recordkeeping;
  • Payment-processing requirements;

Full payment-card numbers and card security codes are not retained in Platoon Wave’s ordinary transaction records after authorization.

Platoon Wave uses reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, use, alteration, or disclosure.

  • Limited retention of payment information;

No website, payment system, network, or method of electronic transmission can be guaranteed to be completely secure. Donors should avoid sending sensitive payment or identity information by email.

You may contact Platoon Wave to:

  • Request correction of inaccurate information;
  • Request deletion of information that is no longer required;
  • Update communication preferences;
  • Unsubscribe from non-transactional email;

We may need to verify your identity before completing a request. Certain information may be retained when required for tax, accounting, fraud prevention, transaction processing, dispute management, security, or legal compliance.

11. Children’s Privacy

This website is intended for a general audience and is not directed to children under 13.

Platoon Wave does not knowingly collect personal information online from children under 13 without appropriate authorization. If you believe a child has submitted personal information through the website, contact ops@platoonwave.org so the matter can be reviewed.

12. Third-Party Websites

The website may contain links to websites operated by other organizations. Platoon Wave does not control the privacy, security, content, or data practices of independent third-party websites.

A link to another website does not mean that Platoon Wave controls or is responsible for that website. Visitors should review the privacy policy of any third-party website they choose to use.
